Feeding Crews Anywhere: The Realities of Location and Shoot Catering in the UK

The UK is one of the most popular locations for film and TV production teams—with so many different landscapes, cityscapes, and even Medieval villages within a short drive, production teams have a wealth of shoot locations to choose from.

Location catering, then, needs to be able to flex with the needs of production—and that is not always plain sailing, especially when it comes to long-running TV shows or sweeping films, where multiple locations, moves, and split units become part of the day-to-day operations.

That is only part of the story, though. These breathtaking locations are often unpredictable in terms of access, for example. The weather can play a major role in changing a schedule. Still, location caterers in London and location catering in Wales (from a studio setup to wild moorland) should be able to provide the same delicious food and the same level of service, just in a more flexible, production-friendly way.

Catering is more than just a ‘nice-to-have’ on location. It is critical to the health, well-being, and morale of the cast and crew, so if you are not choosing the right location caterers for your shoot, you will end up with more to think about, not less. The right location catering team will be able to help keep your production moving, whether that is halfway up a mountain, deep in a city, or just in several places at once. They’ll have the knowledge and experience to make planning a breeze, as well as the right infrastructure to feed your crew anywhere.

What Makes Location Catering Different?

Not all catering is created equal. It is fair to say that in a studio, with a fixed kitchen, reliable power and water sources, and a comfortable place to sit, you would expect the catering provision to be relatively straightforward.

Location caterers are built differently.

The key challenges for a TV catering team on location (or film caterers, at that) are:

  • No fixed kitchen to work from
  • Limited access, single-track roads or height restrictions
  • No available power or water
  • Variable crew numbers
  • Time pressure
  • Split units

The Logistics Behind ‘Anywhere Catering’

1. The Kitchen

We don’t have fixed kitchens in comfortable buildings. Instead, we have created the perfectly formed commercial kitchen inside the back of a 7.5t HGV. Small but perfectly formed, each of these kitchens is capable of feeding up to 300 cast and crew for breakfast, lunch and afternoon tea.

These kitchens are powered by LPG gas. A better choice for the environment than some other options, and it reduces our reliance on electricity (although we still need some). What electricity we do need can come from a generator, if required.

Then, we need fresh water to come into the kitchen, and waste water to be taken away.

As long as there is secure parking for us, and we can get an HGV there, we can set up and serve.

2. Hotboxing Service

If you’ve got some scenes to shoot in a more remote location, where there is no access for our HGV, we can still provide a full catering service thanks to our well-trained and experienced chefs.

Hotbox catering is our answer to those tight service areas. The chefs can cook in the kitchen (set up at a unit base within 30 minutes of the shoot location), and then transport the food to your team. The same quality of food and service, on a smaller scale to fit into a smaller service area.

3. Planning

The secret to excellent location catering is communication and planning. We have a production liaison team at our head office, who ensure that all the information needed by the chefs on the ground and the production team on the shoot is shared in a timely way.

The production liaison team finds out about locations and numbers, works with the location manager and the unit manager to ensure that all moves are organised, and adapts staffing and kitchen positions to suit.

This head office team also ensures that all training and certification are kept up to date, handles accounts payable, and generally takes care of all production administration, so that challenges are solved before they become problems.

4. Moving with the Production

Shooting schedules are fast-moving by design, making the most of factors like light and weather (especially for outdoor shoots).

Shoot catering has to be prepared to move with the production as and when they need it, which can sometimes mean moving to a new location directly after afternoon tea has been served and cleaned away, ready to start for breakfast the next morning.

Hotbox Catering – The Key to Flexibility

We’ve already mentioned it, but we feel it is so important that we should mention it again. The key to excellent location catering and feeding crews anywhere is hotboxing.

And this doesn’t mean shoving meal portions into a box and driving them to the set. (although it can, if your shoot demands it).

Our hotboxing service starts by creating a menu that travels well, still tastes delicious, and has no texture issues. Our chefs then prepare the meals in the kitchen, before storing them in special temperature-controlled containers in our support van. The team brings them to wherever you are serving the meal, then serves from chaffing dishes—the same service you expect from the kitchen, just on a smaller scale.

You’ll find hotbox catering is the most effective solution for city shoots when access is tight, multi-location shoot days, and splinter units.

The right hotbox catering service will maintain food quality and safety and enable our team to feed the crew away from the unit base. This makes it quicker and easier, and better for the schedule.

Feeding Crews at Scale

Shoot catering, whether in London or Wales, and TV catering in particular, can swing wildly in terms of cast and crew sizes, with larger SA days almost a given.

Typical crew sizes might be 80-100 people for breakfast, lunch, and afternoon tea, which is fine—but then a day might come when there are 150+, and you want your catering service to maintain the speed of service, menu variety, and food quality. They also need to be able to handle dietary requirements and allergy management as standard, even with a larger crew.

This has to flex with the production, fit into the budget, and flow wth the day.

Health, Safety and Compliance on Location

Eating from a mobile kitchen doesn’t mean the usual rules of HACCP and temperature control don’t apply. All mobile commercial kitchens are subject to the same health and safety requirements as static kitchens, including EHO inspections.

Location work needs insurance and compliance, and as our company is built around this model, it isn’t just an afterthought or an add-on – it’s what we do.

We run our fleet under an Operator’s Licence, which means we are subject to higher levels of scrutiny in how we operate our vehicles. This includes thorough MOT-like checks on our kitchen trucks every 12 weeks—so you know that we are compliant and reliable.

All this combines to ensure that when it comes to health, safety, and compliance, we have what it takes.

Sustainability on the Move

Production teams know how challenging it can be to maintain sustainability goals on location, and similar issues arise for us in the catering department as well. A common solution to this is to use our hotboxing service, so no need for a generator on location. This is often paired with our compostable disposables, meaning zero waste to landfill, no single-use plastics (and less washing up back at the unit base, too).

This service is provided alongside our other sustainability practices, which include offering plant-first or meat-free days, reducing food waste through communication, planning, and accurate forecasting to ensure the chefs are only cooking for the number of people that will be eating, and through our partnership with Olleco, which collects our waste oil and recycles it.
