In this article, we will look at the things that production coordinators, line producers, and anyone else in the department need to consider before deciding on who to choose—and it’s not all about the budget.
While no two productions are going to be exactly alike, there are a few constants that an experienced film caterer will be thinking about.
The usual catering day (consisting of breakfast, lunch, and afternoon tea) can move in several ways. While call sheets and sides might afford some notice of where (and when) each meal will be, flexibility can be demanded as schedules change—and the right film catering company will already be prepared for that. Early starts, late finishes, and night shoots are all part and parcel of the shoot, so they should come naturally to your catering partner, too.
Alongside the flexibility needed for schedule and location changes, companies that provide cast and crew catering need to offer a creative menu that accommodates all dietary requirements. There should always be a choice; allergy management should always take precedent; and every single member of the team should be able to eat the food they want—whether they have religious reasons, such as kosher or halal, or are plant-based.
This all comes down to communication between the catering and production teams. Open and honest communication about expectations and feedback should be encouraged—knowing that a production liaison team is in place at Head Office should make it easier, so consider establishing clear feedback channels early.

For the cast and crew members working long days, on night shoots, or on every call sheet for a 12-week production, choosing good, thoughtful, and delicious food can make them feel valued. Even those with slightly easier days will feel like they are part of the team when their dietary needs are catered for, and this is especially true if the chefs create meals that make them feel less like an afterthought.
If the cast and crew feel they are being well looked after, they are much more likely to remain focused, bring positivity, and keep their productivity going throughout the day—and that is a win for on-set culture.

Once we agree to work together, we will conduct a detailed pre-production meeting with line producers, production managers, or 2nd Assistant Directors to ensure every detail is covered, giving you peace of mind.
This can happen face-to-face, over an online video meeting, or via email or telephone. At this point, we would get the final details on locations and shoot dates, as well as cast and crew allergies and dietary requirements, and generally get to know each other. The Production Liaison Team will be in constant, consistent contact with the production team, ready to address any issues or feedback.
Each production gets a Risk Assessment and a Method Statement. These documents, along with our insurance and proof of insurance, form the basis of the contract we are signing. We also ensure that all chefs have completed the required training and that it is up to date.
We will plan the logistics for our fleet and staff. It is our responsibility to ensure that you have a chef and at least one other person for production; we are also responsible for the kitchens, the gas we cook with, and, of course, the food. The head office team ensures that everything goes smoothly.
Throughout production, the Head Office team will remain in constant communication, updating the call sheet numbers, adjusting allergens as required, and requesting feedback throughout the shoot. This ensures that your crew are happy with their food, and we make any required changes.
At the end of the production, we will meet with you, if needed, to debrief, final invoices will be paid, and we look forward to working with you again on your next shoot.

In practice, this means we might need to adjust our normal catering day—breakfast, lunch, and afternoon tea — to cover a late break, a night shoot, or a splinter unit—and that takes planning and experience to make it happen.
